Withdrawal Policy

The International Journal of Machine Learning and Engineering (IJMLE) recognizes the importance of maintaining the integrity and transparency of the publication process. While it is rare, there are instances where authors may wish to withdraw a manuscript after submission or during the review process. Below are the key components of the Withdrawal Policy for the journal:

1. Withdrawal Request by Authors

  • Authors who wish to withdraw their manuscript from IJMLE at any stage of the submission or review process must notify the editorial office immediately by submitting a formal withdrawal request via email.

    • Request Process: Authors must clearly state their intention to withdraw the manuscript and provide reasons for the withdrawal.

    • Response Time: Once the withdrawal request is received, the editorial team will acknowledge the request and proceed with the necessary actions. Withdrawal during the initial submission or before peer review will typically be processed promptly.

2. Withdrawal During Peer Review

  • If an article is under peer review, IJMLE will consider the request to withdraw. However, withdrawal requests during the review process may be subject to specific conditions:

    • Timing: If reviewers have already been assigned, the author may be required to reimburse the costs incurred for the review process, especially if significant time and effort have been expended.

    • Peer Review Progress: Authors should expect a delay in the withdrawal process if the manuscript is already being reviewed, and the withdrawal will only be processed once the reviewers are informed and the review process is officially concluded.

3. Withdrawal After Acceptance

  • Once a manuscript has been accepted for publication but has not yet been published online or in print, authors can still request a withdrawal. However, at this stage, the withdrawal will be handled as follows:

    • Formal Notice: Authors must notify the editorial office promptly and in writing.

    • Published Materials: If the manuscript has already been typeset or scheduled for publication, authors may still request a withdrawal, but this could result in potential fees for the typesetting and other pre-publication services rendered.

4. Withdrawal After Publication

  • IJMLE does not generally allow for the withdrawal of a manuscript once it has been published online or in print, except under special circumstances such as:

    • Ethical Violations: If the published work is found to involve ethical violations (e.g., plagiarism, data fabrication, or duplicate publication), the journal may retract the article after a thorough investigation.

    • Author’s Request for Error Correction: In cases where the author identifies an error that impacts the validity of the paper (such as factual inaccuracies), the author may request a correction or retraction. The journal will assess the request and, if deemed necessary, will publish a correction or retraction notice.

5. Conditions for Withdrawal

  • No Duplicate Submission: Manuscripts submitted to IJMLE must not have been submitted elsewhere or published previously. In cases of dual submission, the manuscript will be rejected, and any withdrawal request will be subject to investigation.

  • Ethical and Legal Compliance: Authors must ensure that the withdrawal request does not conflict with any ethical, legal, or contractual obligations. If the manuscript was funded by a grant or organization, permission may be required to withdraw it from the journal.

6. Consequences of Withdrawal

  • Impact on Future Submissions: Frequent or unjustified withdrawal requests could lead to a loss of credibility for the authors and may impact their future submissions to IJMLE.

  • Reimbursement of Fees: If any publication fees or peer review costs have been incurred at the time of withdrawal, these fees may not be refunded, especially if the article has already undergone review or processing.

7. Communication and Transparency

  • IJMLE strives for clear communication throughout the process. Authors will be kept informed of the status of their withdrawal request, and the editorial team will confirm the final decision regarding the manuscript's withdrawal.
